Escrowbird helps real estate brokerages keep a deal's dates, documents and client updates in one place. This page says plainly what we read, what we keep, what we never do, and the choices you have.

1. Who we are and how to reach us

Escrowbird (“we”) makes software for real estate brokerages. Each brokerage that signs up is our customer, and the brokerage decides who in its office uses Escrowbird.

For anything about privacy, write to privacy@escrowbird.com. We answer within 30 days.

2. What we read in Gmail, what we keep and what we skip

When you connect Gmail, Escrowbird reads your messages to find deal mail: email and attachments about a real estate deal your brokerage has open in Escrowbird, such as the contract, counters, disclosures, and notes from lenders, escrow and title.

We keep deal mail and its attachments, filed to the deal. We skip everything else and don't store it. We also keep the account details Google shares when you sign in: your name, email address and profile picture.

In Escrowbird itself we keep what your office adds: deals, dates, checklists, client names and contact details, and the updates you approve.

3. What it's used for

Only the features you see: building each deal's timeline and checklist, filing its mail, drafting client updates for your approval, and reminding your office what's due. We don't use your data for anything else.

4. What we never do

We never sell your data or share it for advertising. We never show ads. Escrowbird never sends or deletes anything in your inbox. We never use your data to train AI models. And no person at Escrowbird reads your email or files without your permission, except where the law requires it or to keep the service secure.

5. AI

Escrowbird's AI is DeepSeek, reached through OpenRouter. It reads contracts and drafts updates. Requests go only to providers hosted in the United States that don't train on or keep your data, and your data is never used to train AI.

6. Google's Limited Use requirements

Escrowbird's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. See also Google's Workspace API user data policy.

7. Who processes data for us

A few companies run parts of Escrowbird for us, each limited to that job: Vercel hosts the website and the app; Railway runs the API, in US East; Neon runs the database, in US East; OpenRouter and the US-hosted model providers it routes to run the AI; and Resend sends sign-in and notification email. Your data is stored in the United States.

8. How long we keep it

California asks brokerages to keep a closed deal's file for at least 3 years after it closes, so we keep your brokerage's closed files at least that long, or longer if the brokerage asks. Otherwise we delete data when you ask, and you can export everything anytime.

9. Security

Data is encrypted in transit and at rest, and stored in the United States. Each brokerage's data is kept apart from every other's. Sign-in requires two steps. Every view, edit and send is recorded in an audit log. If a breach ever touches your data, we tell the brokerage without delay.

10. Your choices

You can disconnect Gmail at any time, in Escrowbird's settings or in your Google account. You can export your data whenever you like, and you can ask us to delete your account. Your brokerage's closed files stay with the brokerage as section 8 says.

11. California, children and changes

California residents can ask what personal information we hold about them, ask us to correct or delete it, and won't be treated differently for asking. We don't sell or share personal information, and we don't respond differently to Do Not Track signals because we don't track you across sites.

Escrowbird is for people working in real estate, not for children under 13, and we don't knowingly collect their information.

If we change this policy, we'll update the date at the top and tell brokerages by email before a change that matters takes effect.
